For larger events like conferences, concerts and performances, an initial planning meeting with our office should be scheduled at least one month prior to the actual event date.

The deadline for requesting space, equipment and staffing is 10 days before the event start date. Requests involving only space or in-room equipment can often be accommodated on shorter notice. Last-minute requests are taken as staff and equipment availability allows, with an added fee. Any event/reservation incurring room rental, labor or equipment charges is subject to at least partial assessment of the charges if the event/reservation is cancelled less than 48 hours before its scheduled set ready/start time.
ASUO Student Organizations and EMU Programs
There is no room/classroom/outdoor space rental charge for ASUO student organizations and EMU programs. However, your organization or program will be charged for equipment, event services staff, and equipment expenses necessary to facilitate your event.
UO Departments and Affiliated Organizations
There are room/classroom/outdoor space rental charges for all UO departments and affiliated organizations unless the event is free to attend. This includes registration fees, conference fees, catering charges, admission fees, donation requests, or any attempt to recuperate event-associated costs. Your organization or program will also be charged for equipment, event services staff, and equipment expenses necessary to facilitate your event.
Non-campus organizations will be charged for room/classroom/outdoor space rental, event services staff, and equipment expenses necessary to facilitate your event.
Equipment rental is normally charged per unit at a daily rate. However, there are various "package" options that address multi-day and multiple-item use. In addition to equipment rental, staff charges are assessed for setup, operation, takedown, cleanup, supervision, and consultation. Large or complex functions will require multiple staff/crew. Because each event is unique, our staff will work with you to develop the appropriate pricing to serve your needs and budget.
